Adding Locations and Downloading Records in MassCat

Login to MassCat using your library code, username and password:

Search for the bibliographic record you wish to work with.  For help in determining the proper record to work with, please consult the document: Record Matching Guidelines.

Once you have located the correct record, display that record in whatever format you desire. 

Add a Location/Holding:

1.      Click on the “Cataloging” menu on the left side of the screen:

2.      Click on the “Add Locations” option under the “Cataloging” menu on the left side of the screen:

3.      A new browser window will appear:

4.      Enter your call number information as well as any other location/holdings information. 

Please Note: The only box you are required to fill in is: $a Call Number.  This is the box for your classification number.

The other boxes are available to facilitate downloading records to your local system.  If you use detailed location information, detailed call number information, barcode numbers for your items, or notes in your local system, please enter that information in the appropriate box.  This information will be transferred to your local system when the record is downloaded.

5.      Click on the “Submit” button at the top of the window.  You will get a new window:

6.      If you wish to add a second holding to the same bibliographic record, click the “Add Another Location” button.  If you do not wish to add additional holdings to the same bibliographic record you are currently working on, click the “Close” button.

7.      If you need to download a copy of this record to add to your local circulation system, click the “Add to Cart” option in the “Cataloging” menu:

This will place your record into a single file with all of the other records you have marked for downloading during this session.

When you have finished adding locations to records in MassCat and you want to download the file of records to add to your local system, follow the instructions below.

Downloading Records:

1.      View the file of records that you wish to download.  Do this by choosing the “View Cart” option from the “Cataloging” menu:

2.      You will get a new window:

At this point, you may remove any records that were added to your download list by mistake.  Do this by clicking on the small recycle bin icon at the left of the title.

3.      Click on the “Download” button:

4.      You will then be presented with a “Save As” dialog box.  Choose the location you would like to save your file in. 

5.      Once you have chosen settings for the “Save In”, “File Name”, and “Save As Type”, click the “Save” button to save the file:

6.      You will then need to import the file of records to your local system.  Follow the instructions from your local system’s manual or Help Desk team.

Modify a Location:

1.  Login to MassCat as described at the top of the first page of these sheets.

2.  Click on the “Modify Locations” option under the “Cataloging” menu on the left side of the screen:

3.  A new browser window will appear:

4.  Change information as necessary.  Your library code will be filled in automatically. 

5.  Click on the “Submit” button at the top right side of the screen.  You will then get a new window:

6.  Click the “Close” button.

Delete a Location:

1.  Login to MassCat as described at the top of the first page of these sheets.

2.  Click on the “Delete Locations” option under the “Cataloging” menu on the left side of the screen:

3.  A new browser window will appear:

4.  Click on the “Submit” button at the top right side of the window.  Your record will be deleted.

5.  You will then get a new window:

6.  Click the “Close” button.
